1. Who We Are

Bell Security and Risk Limited is operated by Nathan Bell. For the purposes of this notice, Bell Security and Risk Limited is the organisation responsible for deciding how and why personal data is used.

2. Who This Notice Covers

This notice covers clients, prospective clients, website visitors, suppliers, applicants, security operatives, subcontractors, witnesses, complainants, visitors and other individuals whose information is processed in connection with security services or business administration.

3. Information We Collect

Depending on the relationship, we may collect identity and contact details, right-to-work and screening evidence, SIA licence and qualification information, employment or engagement history, payment details, communications, incident and safeguarding information, CCTV or body-worn video, vehicle details, device and website data, and any information reasonably required by a client, law or contract.

4. Why We Use Personal Data

We use personal data to respond to enquiries; assess and manage contracts; recruit, screen and deploy personnel; deliver and monitor security services; manage access, incidents, complaints and safeguarding; meet legal, regulatory, insurance and client duties; prevent and investigate crime or fraud; protect people and property; maintain records; and improve our services.

5. Lawful Bases

Processing may be based on contract, legal obligation, legitimate interests, vital interests or consent, depending on the purpose. Special-category and criminal-offence data will only be processed where an additional legal condition applies and appropriate safeguards are in place.

6. Sharing Information

Information may be shared where necessary with clients, venue or site operators, screening and training providers, payroll or payment providers, insurers, professional advisers, IT suppliers, emergency services, law enforcement, courts, regulators and public authorities. We do not sell personal data.

7. Security and Retention

We use access controls, multi-factor authentication, encryption, secure storage, confidentiality obligations, backups and appropriate supplier contracts. Records are kept only for as long as required by law, contract, insurance, limitation periods, safeguarding, security or operational need, after which they are securely deleted, anonymised or destroyed.

8. International Transfers

Where a service provider processes data outside the United Kingdom, the transfer will only take place where permitted by law and supported by an appropriate transfer mechanism and safeguards.

9. Your Rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to processing, obtain portability and challenge certain automated decisions. Rights are not absolute and lawful exemptions may apply.

10. Subject Access Requests

Requests may be made verbally or in writing. In most cases there is no fee. We will make a reasonable and proportionate search and respond without undue delay and normally within one month, subject to lawful extensions, identity checks and exemptions.

11. Data Protection Complaints

We will acknowledge a data protection complaint within 30 days, make appropriate enquiries, keep you informed and communicate the outcome without undue delay. You may also complain to the Information Commissioner’s Office.

12. Cookies and Website Data

Our website may use essential and optional cookies or similar technologies. Where consent is required, non-essential cookies will not be used until consent is given. Browser or device settings may also be used to manage cookies.

13. Changes to This Notice

This notice will be reviewed at least annually and whenever our processing activities, legal obligations or systems materially change. The current version will be made available through the Business website or on request.
